FOR CLEARING AND FORWARDING AGENTS · KENYA
Built for the workflows clearing agents actually run.
If you hold a KRA customs agent licence and a KIFWA membership, this page is written for you. Not generic business automation — the entries, the free days, the client submissions and the delivery evidence your operation runs on every day.
01 / WHY THIS PAGE EXISTS
We built for one sector rather than for everyone.
Most technology sold to Kenyan businesses is sector-neutral: a general automation tool, a general chatbot, a general workflow builder. It assumes your operation already has clean records to work from, and it does not know what a free day is.
Veridom builds only for logistics. The workflows we implement are the ones on your desk — an entry queried and re-lodged, a container accruing storage while a permit is chased, a client refusing to pay without a proof of delivery nobody can produce, a customer asking where their cargo is for the fourth time today.
A note on independence. Veridom is not affiliated with, endorsed by, or a partner of KIFWA. We refer to the association because it is how this sector is organised and because its members are the operators we built for. Nothing here should be read as an association recommendation.
02 / WHAT WE IMPLEMENT
Four workflows, and you start with one.
Each is implemented separately, configured to how your operation actually runs, and measured against the process you use today. We do not attempt four at once.
- 01Shipment enquiries and exception handling
Customers asking where cargo is, answered from your verified records rather than from somebody’s memory — and refused rather than guessed when the record cannot support it. The AI Shipment Desk.
- 02Entry documentation and compliance filings
What each entry, permit and certificate depends on, who is accountable for it, and what is missing — checked against defined requirements before lodgement rather than after a query.
- 03Free days, storage and detention
Every clock the operation runs against, with a named owner and a warning window, surfaced in a daily brief instead of discovered on an invoice. More on demurrage.
- 04Delivery evidence and unbilled work
Proof of delivery captured from the photograph a driver already sends on WhatsApp — no driver app — and completed work nobody invoiced put on one screen with a value against it. The Delivery Desk.
03 / WHY THE SCOPE IS SMALL
Because you have seen the other kind of project.
Most agents we speak to have been sold something before. A system that needed data nobody had, a driver app nobody used, a portal that became one more place to check, or a build that was still six weeks from finished a year later.
So the shape of this is deliberate. One workflow. A fixed fee agreed in writing before anything starts. Live in fourteen days. Measured for thirty days against how the work ran before. Recurring operation only if you decide to continue.
And you keep the workflow map whatever you decide — the document showing how that process actually runs in your business, exceptions included.
- 01Fixed fee, agreed in writing
No open-ended day rate, and nothing that grows once we are inside your operation.
- 0214 days to live
The Kenyan market benchmark for an AI pilot is four to eight weeks on an open-ended engagement.
- 0330 days measured
Against a baseline taken from your real jobs, so the result is a number rather than an impression.
- 04You own the map
Yours to keep, or to hand to another supplier, whatever you decide afterwards.
04 / TRAINING AND CPD
We would rather teach the sector than pitch it.
Technical competency makes up half of the CPD content members are expected to complete each year. We are offering to deliver a session on operational technology to any branch, chapter or member group that wants one — free, and with no sales content in it.
The material is what we have learned building for this sector: where automation actually holds in a clearing operation and where it quietly fails, what has to be true before a system can watch a deadline, why driver apps do not get adopted here, and how to read an AI proposal closely enough to tell a real one from a demonstration.
If your branch runs member meetings and would like that session, tell us and we will prepare it. If it is more useful as a written guide your members can circulate, we will write that instead.
QUESTIONS
What agents ask us.
Ask anything not covered here on WhatsApp. You will get a straight answer.
01Do we need to be a large agent for this to be worth it?
No, and the two products are pointed at different sizes deliberately. The AI Shipment Desk suits an established forwarder with existing systems and enough enquiry volume that repetitive customer communication is a visible cost. The Delivery Desk suits an owner-operated business running on WhatsApp, paper and memory, because it creates a record rather than reading one. If you have no systems at all you are not disqualified — you are the second case.
02Will this help with KRA entries and queries?
Yes — documentation and compliance filings is one of the workflows we implement. That means the commercial invoice read and the declaration populated from it with classification proposed and checked, discrepancies across the bill of lading, packing list and invoice surfaced before lodgement rather than after a query, and every permit and certificate the consignment depends on tracked. How far it goes is your setting, not a technical ceiling: most agents keep the lodgement itself supervised at first and open it later, once thirty days of measurement have shown what the error rate actually is. That is a governance choice you make in writing and can reverse.
03We already pay for software nobody uses. Why would this be different?
The honest answer is the shape of the engagement rather than a claim about the software. Fourteen days to live, thirty days measured against your existing process, a fixed fee, and you continue only if the number moved. If it does not work you have lost a defined amount and gained a map of your own operation. That is a different risk from an annual licence.
04Do our staff need training on a new system?
Drivers need none — the Delivery Desk works from the photograph they already send to WhatsApp. Office staff change one habit: instead of checking every job, a coordinator works a queue of the jobs that have a problem. That is the point of the implementation rather than a side effect of it.
05Are you affiliated with KIFWA?
No. Veridom is not affiliated with, endorsed by, or a partner of KIFWA, and nothing on this page should be read as an association recommendation. We refer to KIFWA because it is how this sector is organised in Kenya and because its members are the operators we built for.
06Where are you based?
Nairobi, working with operators across Kenya including Mombasa. Veridom Ltd is registered in England and Wales; the logistics work is delivered in Kenya, in person, beginning with a session at your premises with the people who do the work.
ONE WORKFLOW · LIVE IN 14 DAYS · MEASURED FOR 30
Start with the workflow costing you most.
Thirty minutes with the people who run your entries, deadlines or deliveries is enough to scope the first implementation and tell you honestly what can be automated now, what needs fixing first, and what should stay with a person. You keep the workflow map either way.
